  • Chair of the EACC
  • Discussion of the introduction of SIS–punch-cards, development of the system
  • Enterprise Applications Coordinating Committee has responsibility to prioritize improvements
    • Amanda (Users Forum chair) has a seat, voice, and vote on the committee
    • Representatives from around campus; will change as ConnectCarolina implements more portions
  • EACC Process and Guidelines handout
    • Taking the long view–seeing what is best for campus as a whole
    • Examining benefits of an integrated system
    • One-off features for a very small group of people, no matter how great, will not be prioritized
  • Priorities
    • Aligning with federal or state regulations
    • PeopleSoft Bundles
      • bunches of fixes and improvements
      • Need to be implemented in a timely manner
    • Keeping the system moving ahead; continuously improving
      • Lesson learned: Change your systems more often than every twenty years! Nobody’s here anymone
    • Students first, faculty second, staff are third
      • Undergraduate application process took the lead
      • Students are students, undergrads or graduates

      • Image will suffer with antiquated, old tools
    • Keep noise down–small fixes for aggravating problems
    • Make sure everything in ConnectCarolina works together
      • Harder in a time of budget cuts–we’re looking ahead
    • We’ll work hard to get the things done that need to get done and at the same time things that need to be done–if you are aggravated and nobody is listening, reach out to us!
  • Question from Sheetal, Graduate Representative, about people having registration difficulties when transitioning between undergrads, grads, and PhDs–ITS will look into the matter

Maribel Carrion: ITS Campus Solutions team

  • PeopleSoft Tools upgrade–has to be done by the end of Junes; waiting until most of our work is done
  • We’re planning on implementing the week of May 16th
  • This is a look and feel change only, not a functionality change
  • Changes:
    • Search box in Menu for specific pages
    • Menu box on left-hand side disappears when not on main menu, menu now runs across top
    • Favorites–will show you a history of the last six pages you went to
      • Question: Since last time logged in or period? ITS: We’ll need to check
    • Can get directly to a specific page through dropdowns on one page, no clicking through series of pages
    • Menu breadcrumbs show you where you came from
    • Can limit the number of results (cap of 300 not changing yet, but you can ask for less to speed up process)
    • Look Up (magnifying glass) items when clicked on will now give a popup on the same page that forces you to complete it before doing anything else; can move popup around page
    • Look Up now has type-ahead functionality–will show you results that begin with what you have already typed in
    • Blue spinner replaces red “processing” text
  • Question from audience about general usability concerns
    • Search fields are poorly aligned, leave lots of blank space; other usability issues
    • Default search name problems (Maribel will investigate)
  • Question about IDs:
    • The “ID” field are PIDs
    • The Campus ID field is left blank
    • The National ID are social security numbers
  • On the Process Ahead
    • ITS has gathered 150 enhancement requests as of now (not including ones in Users Forum)
    • This is in addition to the 650 issues and bugs they are currently investigating
    • ITS needs the EACC to decide priorities

Tips from audience:

  • Use the “Save Search Criteria” option
    • It will save time for frequently used searches
    • It is not on every search screen, however
  • The “in” system in dropdown (I’m not sure what I meant here, sorry!)

The ConnectCarolina Users Forum would like to invite you to come and learn about the changes coming to ConnectCarolina and the process for submitting ideas.

The newly formed Users Forum represents the students, faculty, and staff on campus to ITS and the other business groups involved in ConnectCarolina’s development. We want to hear your comments and ideas. As we learn about the system and its development, we’ll share the information with you.

To share your feedback, you can:

  • Use our online feedback forums, where you can submit ideas as well as vote or comment on others’ suggestions. We have separate forums for students, faculty, and staff.
  • Come to one of our quarterly forums and give your feedback in person. The next forum will be on Thursday, April 14th from 2-3pm in Toy Lounge on the 4th floor of Dey Hall.

Purpose of this meeting

  • To transition ConnectCarolina users to an ongoing mechanism influencing ConnectCarolina
  • To establish the organization of the Users Forum

As the Campus Solutions (student services) phase of the ConnectCarolina project completes its initial development mode and moves into full operational status, governance is also evolving. Information Technology Services (ITS) will need ongoing guidance and feedback regarding concerns, issues and enhancement requests related to ConnectCarolina.

Key to providing this feedback is a new group, the ConnectCarolina Users Forum, representing faculty, staff and students who use ConnectCarolina. The ConnectCarolina Campus Solutions project has been advised throughout by various advisory groups. Members of these groups are now users of Campus Solutions and are encouraged to participate in the Users Forum.

Introduction

Jerri Bland, the Executive Director of ConnectCarolina welcomed everyone to the meeting and provided a very brief update of the system’s development. About 90% of the initial requirements for the system are in place. And, while the focus of this meeting is on governance going forward, she offered to talk with folks after the meeting if they have questions or concerns about current operations. She reminded the group that any bugs or errors in the current system should be reported via the ITS remedy ticket system.

Ms. Bland also provided a brief explanation of the purpose of The Forum. She emphasized the need for users to have a way that they can directly communicate with ITS and the Enterprise Applications Coordinating Committee on users challenges and needs. She and the Campus Solutions Stakeholder Committee (the predecessor to the EACC) agreed that the Users Forum would be a critical feature of ConnectCarolina’s governance structure.

Ms. Bland introduced Ms. Amanda Holliday as the first chair of The Forum, to serve an initial term of one year. Ms. Holliday was recommended for this role because of her commitment to students and her reliance on the system in her roles as a professor, faculty advisor and leader of the Nutrition department’s Master’s of Public Health program. She actively engaged in several aspects of the system and works closely with the student services staff in her department and for the Gillings School of Global Public Health. The Proposed Users Forum

Ms. Holliday’s used a handout of proposed Forum leadership roles and presentation slides to launch future directions for The Forum. Presentation highlights:

  • Forum goals (including sharing best practices)
  • Proposed organization (see handout), including committees to form as needed
  • Next steps
    • Leadership volunteers – NEEDED
    • Leadership team responsibilities (including set up of feedback mechanism)
  • Proposed (somewhat aggressive) timeline
    • Set around EACC meetings
    • Next Forum meeting – Early April

Discussion/additional

  • Ms. Bland was asked to describe the EACC and its new roles. A charter is posted on The Forums’s website.
  • Ms. Holliday asked the group for suggestions on how to best collect information, including enhancement requests.
    • She demonstrated the mechanism set up by the student representatives (hosted by Users Voice).
    • There was some discussion about features, including:
      • the ability for ITS to post updates connected to specific items
      • a way for users to post comments and vote, which will help set priorities
      • a possible need to organize sections by functions, e.g. records and admission
      • accessibility for staff, students and faculty
      • once addressed, items could be “retired” or closed
    • There was some concern about whether faculty would use this type of mechanism directly. It was noted that staff could add comments reflecting their faculty’s positions, as well as encourage faculty to input their ideas or concerns directly. One possibility is to have a committee that focuses on soliciting faculty feedback.
    • A couple of users expressed support for this type of mechanism and its use.
  • Forum meetings could focus on sharing best practices, reviewing requests and establishing priorities.
  • The goal is for the users to have an open forum in which they can express ideas (and concerns).
  • As The Forum’s chair, Ms. Holliday meeting discussions, feedback and priorities would inform her representation of the group as a full-fledged member of the EACC. She would also report back to THE Forum on EACC business.
  • The Forum replaces prior ConnectCarolina advisory groups, including Campus Contacts, Records Advisory and the Admissions Advisory groups, though some groups may have a few more minutes before they close formally. Again, The Forum’s committees will help gather stakeholders around specific issues or functions.
  • No one expressed disagreement with the proposed organization or approach.
